Microsoft 365 offboarding, with verified ownership transfer
When an employee leaves, every OneDrive file, SharePoint resource and shared connection they own must land with the right successor — provably. Votra runs that operation end to end on Microsoft 365.
Native admin tools can reassign OneDrive, but they don't inventory what an employee owns across the tenant, don't gate the change behind an approval, and can't prove afterwards that every item landed. Votra exists to close exactly that gap — on live Microsoft 365 connections through delegated administrator consent.
What the platform does on Microsoft 365
- Discovers files, folders, drives, sites and mailboxes the departing employee owns across OneDrive and SharePoint.
- Reviews sharing state per resource — owned, shared, inherited or external — before anything changes.
- Transfers ownership item by item through Microsoft Graph with a chosen destination owner.
- Requires a distinct approver: the person initiating the offboarding can never approve their own operation.
- Re-reads the provider after each action to verify the transfer actually took effect, item level.
- Exports a signed evidence report covering every completed operation.
How an operation runs
1. Connect. An administrator consents once to delegated Microsoft Graph permissions — Files.ReadWrite.All, User.Read.All, MailboxSettings.ReadWrite. Votra reads directory and storage metadata; file contents are never downloaded.
2. Discover and review. The platform inventories the employee's owned resources and flags exceptions before execution.
3. Approve. A policy-gated approver reviews the plan. Nothing changes until they act.
4. Transfer and verify. Ownership moves in resumable batches; every item is re-checked against the provider afterwards.
5. Evidence. A signed export records what changed, when, and who approved it — ready for your audit.
