Offboarding without hiring an IT department

When someone leaves a fifty-person company, the person who owns their files is usually the person they were sitting next to. The work is not hard — it is easy to forget, and the data is genuinely gone once the account is deleted.

There is a real gap between “we will handle it manually” and “we have a process”. At small scale, offboarding lives in a calendar reminder: someone disables the account on their way out, and the OneDrive files go with it. Microsoft does not keep them indefinitely — after the account is deleted the content moves to a recycle bin for a limited window and is then purged. There is no supported way back.

The classic loss is a small business that realises eighteen months later it still needs a former employee's client contracts, their pricing spreadsheet, and the shared folder two other people had write access to and never copied.

Why small businesses are the case where this hurts most

  • The departing employee is often the only person who understood how the files were organised — and they are about to stop being reachable.
  • There is often no second person who can reconstruct what was owned, so nobody notices the loss in the moment.
  • Manual transfer means finding and opening every OneDrive folder by hand, which is slow enough that teams put it off and then skip it.
  • When the company later grows or is audited, the missing history cannot be reconstructed from anything that still exists.
